GENERAL DESCRIPTION
Regional Marketing Concierge¡¦s primary function is to proactively work with their assigned books of business in assisting them with marketing efforts and managing their advertising funds. Marketing efforts may include, but are not limited to, the implementation of local and regional marketing projects and providing support related to advertising, billing and co-op management, all while ensuring all components are brand compliant. To accomplish this goal, the Marketing Concierge must have a clear understanding of the Client program and have the ability to prioritize multiple demands in a fast-paced environment with strict deadlines and strong customer service aptitude. Ensuring customer retention and satisfaction is our priority.
JOB REQUIREMENTS
A. Customer Service
„X Act as first line phone, email and fax support in answering ¡§help desk¡¨ type calls from dealers related to using our marketing website and co-op advertising program. Escalate technical issues reported to the appropriate in-house tech representative, track progress, and provide feedback on issue resolution back to the dealer. Log calls as required.
„X Promptly handle communication regarding the client program, while remaining courteous and professional, and knowing when and how to escalate questions/concerns to the next level.
„X Collect comments and suggestions from dealers regarding program improvements and recommendations, while maintaining a best-practices log to share with SMS internal team and Client contacts.
„X Coordinate the delivery, tracking, and qualitative analysis of customer satisfaction surveys.
„X Educate dealers on their marketing website, its functionality, and its ability to serve as a useful tool for their marketing efforts.
„X Consistently analyze problem areas and help in the implementation of procedures and policies to streamline processes.
„X Other projects and tasks as needed.
„X Work with the Account Marketing Executive to provide feedback on:
o Standard Operating Procedures and documentation of procedures
o Updates at the dealer level
o Billing
o Completion of tasks
o Satisfaction and effectiveness of services
B. Marketing
„X Assist dealers with their marketing endeavors, helping with conceptuating an idea that works best in their local market, using the following:
o Obtain and study information about dealer¡¦s needs, problems, advertising history, and business practices in order to offer appropriate product assistance
o Explain to dealers how specific types of advertising may help promote their product or services
o Collect and analyze data on customer demographics, preferences, and response habits to identify potential markets and factors affecting product or service demand
„X Provide dealers with estimated costs for a given advertising media
„X Inform dealers of available options for advertising artwork, and provide with samples
„X Deliver creative proofs to dealers for approval and manage all correspondence with them throughout the campaign
„X Assist Area- and Regional managers with Area- and Region- wide promotions by identifying, developing, and evaluating marketing strategy based on knowledge of objectives, market characteristics, and budget
„X Collect comments and suggestions from dealers on site and Program improvements, and make appropriate recommendations.
„X Provide reports to involved stakeholders on site usage and Program enrollment. This will be done, at minimum, monthly but may be more frequent during open enrollment periods.
„X Monitor list of enrollees to make sure each has completed the enrollment and order process. Proactively contact those with ¡¥incomplete¡¦ orders to assist them in completing their order. Contact dealers who participated in previous Programs but have not yet enrolled in the current one to assist them with the enrollment process or learn why they chose not to participate this time around, and possibly fix the problem.
„X Oversee print production schedule as production relates to these programs. This includes proofing ads, approving for print and status reporting.
C. Auditing/Administration
„X The Regional Marketing Concierge must have a clear understanding of the client's marketing programs, products, and restrictions.
„X Must be able to recognize when to ask appropriate questions if unclear on a particular issue, to listen to the answers, and learn from them so that when a similar situation arises, they know how to handle it.
„X Facilitate pre-approval process to ensure advertising is compliant with co-op/brand guidelines
„X Understand the filing systems and post-processing procedures and organize his/her work responsibilities accordingly.
„X Perform intermediate co-op fund management functions using our internal software:
o Look up account information, claim/financial/accrual information
o Data entry
o Standard reporting
„X Possess the time management skills necessary to meet all contractual obligations by taking the steps necessary to maintain both the processing schedule and turnaround time.
QUALIFICATIONS/ SKILLS:
The ideal candidate will have the following skills and experience:
„X Experience managing projects and/ or accounts
„X Knowledge of web-based marketing
„X Exceptional organization, time management, follow-up and documentation abilities.
„X Extreme detail orientation.
„X Must possess strong ability to deal with complex situations and collaborate effectively with team members.
„X Ability to multi-task, think independently in a fast-paced environment, and shift priorities as needed.
„X Strong MS Office knowledge including Intermediate Excel abilities including comfort with pivot tables, charts, sorting, subtotaling, and formatting.
„X Should be able to analyze and determine relationships between data.
„X Basic understanding of graphic design principals, file types and usage, and design tools such as Photoshop and Illustrator helpful.
„X Basic knowledge of HTML
„X Experience with print logistics and operations a plus.
„X Technical ¡§help desk¡¨ experience and/or basic understanding of different computer platforms, operating systems, browsers and web-based software required.
„X Advertising, Communications, Marketing or related degree required.
MISCELLANEOUS:
„X The Regional Marketing Concierge is required to comply with flextime schedules as outlined in the company¡¦s Policies and Procedures manual.
