Responsibilities:<br>
<br>
<br>
·	Reception Duties include, but are not limited to, answering and screening phone calls, greeting visitors and provide support to advisor in creating a welcoming business environment.  Aid in client service inquiries and make every attempt to resolve problems.<br>
<br>
·	Maintain appointment calendar.<br>
<br>
·	Review, organize and coordinate all email communications.<br>
<br>
·	Maintain a clean office, coordinate building services and support relationship with other building tenant. <br>
<br>
·	Order office supplies, maintain office equipment and organize office inventory.<br>
<br>
·	Reserve, coordinate and confirm office space for meetings at satellite locations and be able to provide directions.<br>
<br>
·	Compose, proofread, edit and update correspondence, letters, memos, reports, documents, spreadsheets and presentation materials.<br>
<br>
·	Work closely and communicate daily with broker/dealer home office and a variety of other financial institutions’ personnel.<br>
<br>
·	Ensure proper completion of all client paperwork, following-up on client service issues, maintaining hard copy and online files and performing various client service tasks, as needed.<br>
<br>
·	Help advisor prepare for meetings and occasionally attend meetings, when necessary.<br>
<br>
·	Coordinate, oversee and attend client events and seminars. <br>
<br>
·	Prepare, maintain and ensure completion of daily, weekly, monthly and quarterly reports, records and logs.<br>
<br>
·	Create an Office Manual of all business processes and procedures.<br>
<br>
·	Maintain office compliance requirements and be responsible for passing an internal compliance audit.<br>
<br>
·	Help create and blueprint template documents.<br>
<br>
·	Help build and maintain files of company brochures, welcome kits, product paperwork and other marketing materials.<br>
<br>
·	Filing of all paperwork and maintaining scanned in files.<br>
<br>
·	Update website content.<br>
<br>
·	Utilize client contact system for all activities and conversations.<br>
<br>
·	Scribe notes from meetings and assign tasks.<br>
<br>
·	Help Advisor stay organized and ahead of deadlines.<br>
<br>
·	Build and create filtered mailing lists with various parameters.<br>
<br>
·	Represent company at client events, seminars and conferences.<br>
<br>
·	Help with recording business expenses.<br>
<br>
<br>
Qualifications:<br>
<br>
<br>
·	Bachelor’s Degree, or the equivalent in experience. <br>
<br>
·	Excellent written and oral communication skills.<br>
<br>
·	Must be able to occasionally work beyond normal hours, sometimes with short notice.<br>
<br>
·	Must have a valid driver's license with a clean driving record, be able to pass pre-employment background check and be finger-printed for broker/dealer requirements.<br>

	and all appropriate lights and heat are off.<br>
7.	Oversees the closing and securing of all parish facilities every day.<br>
8.	Oversee an inventory of office supplies. Order materials, supplies or equipment<br>
	as needed. Oversee the maintenance of and contracts for the various office 	machines.<br>
9.	Supervise office support staff positions. Participate in the recruiting, hiring, and<br>
	evaluating of office staff. Guarantees office coverage when support staff is on 	vacation.<br>
10.	Prioritizes calls and visitors for pastor. Returns calls for pastor as requested.<br>
11.	Coordinate extra collections – numbers of envelopes , English, Spanish, publicity and distribution of envelopes<br>
12.	Prepare and maintain an Office Procedures and Reference Manual<br>
13.	Prepare and produce the weekly bulletin. Gather and edit the content and<br>
	layout of the bulletin and complete the bulletin in time for final printing. Makes		decisions with pastor as to content of bulletin <br>
14.	Maintains the parish offering envelope system. Update data on a regular basis. Oversees the posting of contributions on a weekly basis and mails contribution statements. Oversees distribution of envelopes to parishioners<br>

16.	Develop and maintain a sacramental record keeping system. Records  / assures the recording of all weddings, baptisms, funerals as well as those who receive first Eucharist, first Penance and Confirmation.<br>
17.	Participates in the outreach and welcoming ministry. Sends letters to new<br>
	parishioners inviting them to register and welcomes them when they do.<br>

We are looking to add an executive assistant and tier 1 tech support/customer support person to add to our support group.  There is always room to grow within our organization.   You will be working with a team of support and service professionals to assist our business customers.  Converged Communication Systems works to sell, design, project manage, program , install, maintain and service Avaya business telephone systems and Cisco data networks.  We do fully train customer service reps to get full understanding on what job requires.  We also work with Nortel, telephone and internet provides, and other manufacturers like Dell and HP.<br>

 Some of the items that you will be responsible for include:<br>
- Invoicing and accounts recievable.  <br>
- Help customers resolve problems.<br>
- Tier 1 Customer Support:  This is critical to our business.  Handle customer call ins.  Open tickets.  Work with higher level support team to resolve issues.  We will train you on basic tier 1 troubleshooting and resolution.<br>
-  Scheduling and Basic Project Management:  You will have to be able to oversee simple projects and organize your timeframes as well as schedule resources and techs to projects.<br>
-  There is a lot of growth within our organization which we can help you achieve.<br>
- Customer satisfaction calls to ensure quality.  This will help customer retention.<br>
- Database management to help update and manage our database.<br>
- Other misc admin assistant duties and basic customer service type duties<br>
- Work directly with Sales, Support and Marketing directors as executive assistant when needed<br>
