Expanding Busy Pediatrics Practice is seeking a highly qualified and motivated staff for th following two positions: Lead Medical Assistant & Office Manager.
Medical Assistant: Minimim of 5 years experience required. Peds experience preferred. Must have strong communication skills and be able to manage both physician and M.A. with respect to efficieney and patient flow. Medical Spanish proficiency required.
Office Manager:
Job Description: Assists the Physician(s) in the supervision and operation of the business aspects of the physicians' office and is able to work independently with little supervision and prioritize work. Manages a variety of general office activities by performing the following duties personally or through subordinate supervisors Essential Duties and Responsibilities include the following
• Clinical Support Functions:
o Supports clinical functions to prepare patient for examination or procedure Collects data to support the initial patient assessment including taking vital signs Conducts a standardized patient interview per office protocol.
o Alerts physician and/or nurse to any patient complaints, especially those that are life threatening and abnormal vital signs.
o Provides patent education as directed by a physician regarding treatment, special diets, medication, follow-up diagnostic tests and healthy lifestyle information.
o Calls pharmacy refills and patient callbacks as directed by office protocol and as directed by a physician.
o Document all calls, correspondence and encounters with patient within established guidelines.
o Supervises trains and orients assigned physician office personnel.
o Participates in selection and performance evaluations with the Physicians and NANI Directors.
o Identifies and assesses the education/training needs and requirements of the physician office staff on an on-going basis.
o Responsible for overseeing the ordering of clinical and office supplies.
o Responsible for adherence to all HIPPA regulations and monitoring of HIPAA/Compliance.
o
• Mangerial Support Functions:
o Assists in the development and implementation of policies and procedures for all operational areas of the physician office including billing, purchasing, accounting, systems, etc.; ensures adherence to the established policies and procedures.
o Interface with the Director of Patient Accounts to resolve issues related to the physician office.
o Maintain service orientation with staff, patients, physicians and the public.\
o Works with Credentialing Coordinator with the enrollment and updating of physicians' provider numbers with federal, state and local agencies.
o Will also assist with the enrollment and updating of physicians' provider numbers with federal, state and local agencies.
o Maintains current knowledge base on billing, coding, insurance regulations and the medical billing system.
o Collects, compiles and prepares reports as requested.
o Conducts on-going internal control audits to assess adherence to policy and procedure.
o Collects, compiles and prepares selected practice reports for review and distribution.
o Analyzes and organizes office operations and procedures such as bookkeeping, preparation of payrolls, personnel, information management, filing systems, requisition of supplies, and other clerical services.
o Maximizes office productivity through proficient use of appropriate software applications. Researches and develops resources that create timely and efficient workflow.
o Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
o Responsible for training staff on procedures and operational practices. Reviews clerical and personnel records to ensure completeness, accuracy, and timeliness.
o Prepares activities reports for guidance of management.
o Coordinates activities of various clerical and/or nursing workers within practice.
o Maintains contact with corporate and outside vendors

Education:
Fifth year college or university program certificate; or three to five years related experience and/or training; or equivalent combination of education and experience. CMA or R.N. preferred.
