Position Summary:

We are seeking a Part-Time Plumbing Office Administrator/Assistant to join our fast-paced team. The ideal candidate will have prior experience with plumbing administrative tasks, excellent organizational skills, and the ability to prioritize and manage multiple responsibilities. This position plays a vital role in ensuring smooth operations, compliance with city requirements, and exceptional customer service.

Key Responsibilities:

-Pull permits and manage documentation required by the city
-Prepare, send, and track contracts, ensuring timely return and accuracy
-Schedule and coordinate city inspections, ensuring compliance with deadlines
-Answer phone calls, handle customer inquiries, and provide excellent customer service
-Document and track all customer requests for plumbing services
-Schedule and dispatch plumbing technicians for residential and commercial jobs
-Close out and invoice completed jobs, ensuring accuracy and timeliness
-Assist with dispute resolution and maintain strong client relationships
-Maintain detailed and organized records of jobs, inspections, and city filings

Qualifications:

-Previous administrative experience in the plumbing or construction industry (required)
-Strong organizational skills with attention to detail
-Excellent verbal and written communication skills
-Customer service experience is a must
-Ability to manage time effectively and prioritize tasks in a busy environment
-Experience with permits, contracts, scheduling, and compliance documentation
-Proficiency with office software (email, scheduling tools, invoicing systems)
-Reliable, self-motivated, and able to work independently with minimal supervision
