Summary
The Assistant Property Manager supports the daily operations of residential or commercial properties, ensuring excellent tenant service, efficient administrative processes, and smooth facility management. This role works closely with the Property Manager to maintain building standards, enforce policies, support financial activities, and assist in leasing and tenant relations.
Required Education and Experience
• High school diploma required; associate/bachelor’s degree preferred.
• 1–3 years experience in property management, real estate, or administration.
Preferred Education and Experience
• Strong communication and interpersonal skills.
• Excellent organization, time management, and problem-solving abilities.
• Proficient in MS Office; experience with property management software (Entrata).
• Ability to manage multiple priorities in a fast-paced environment.
• Customer-service mindset and strong attention to detail.
Essential Functions
Tenant Relations & Customer Service
• Serve as a primary point of contact for tenant questions, concerns, and service requests.
• Maintain positive, professional relationships with tenants and vendors.
• Coordinate move-ins, move-outs, and property orientations.
• Assist in resolving tenant issues promptly and diplomatically.
Property Operations
• Conduct routine property inspections to ensure safety, cleanliness, and adherence to maintenance standards.
• Coordinate repairs and preventive maintenance with vendors and in-house maintenance staff.
• Monitor building systems and common areas to ensure proper functioning.
• Assist in enforcing building rules, regulations, and lease terms.
Administrative & Office Support
• Maintain accurate property files, lease documents, correspondence, and reports.
• Process invoices, work orders, and purchase orders.
• Prepare communication materials, notices, and updates for tenants.
• Assist with compliance requirements and proper recordkeeping.
Financial Support
• Help track rent collections and follow up on delinquencies.
• Assist in budgeting, forecasting, and expense tracking.
• Prepare monthly financial and occupancy reports as requested.
• Support the Property Manager with vendor contracts and bids.
Leasing Support (if applicable)
• Assist with marketing vacant units and scheduling property tours.
• Process applications, background checks, and lease agreements.
• Maintain accurate leasing records and update availability reports.
