Position Title: Dispatch & Fleet Logistics Coordinator
Location: 5201 W Grand Ave., Chicago, IL 60639 (In-Office Only – Not a Remote Position)
Target Base Salary: $58,500+ / year (Paid as a stable, fixed weekly salary)
Performance Bonus Structure: Up to $10,000 to $12,000 / year in performance-based KPI bonuses
Schedule & Seasonal Expectations: 5–6 days a week (Must include early mornings starting at 6:00 AM sharp and Saturdays).
Peak Season Shift (March – August): Expected operational schedule averages up to 50 hours per week to manage peak summer moving volumes.
Off-Peak Season Shift (September – February): Expected operational schedule drops to a standard 40 hours per week.
About the Role
We are a premier, high-volume direct-service moving and logistics company handling thousands of customers annually in local and interstate relocations. We are under fresh operational leadership and are seeking a sharp, tech-savvy, bilingual professional to act as our "air traffic controller."
This is a hands-on, boots-on-the-ground operational role. You will be the central engine of our physical facility on Grand Ave, ensuring our truck fleet rolls out efficiently, our warehouse storage is organized, our inventory is protected, our moving crews are effectively deployed, and our customers are kept proactively updated through daily dispatch traffic.
Key Responsibilities
1. Advanced Scheduling and Crew Matching
Review daily crew notes and systematically match job complexity with the specific strengths, capabilities, and training levels of available field personnel.
Execute a rigorous morning check-in process beginning at 6:00 AM to instantly catch employee call-offs, adjust crew configurations, and ensure zero delays before trucks leave the yard.
2. Fleet Management and Regulatory Compliance
Monitor truck health daily, document driver-reported vehicle damage, coordinate and schedule preventative maintenance with mechanics, and keep all commercial plates, city stickers, and I-Pass transponders current.
Track driver safety alerts, speeding violations, and electronic logs in real-time using the Samsara GPS platform.
Coordinate interstate truck logistics, monitor DOT-mandated gross vehicle weight limits, audit driver road logs, and manage logistics/shuttle planning.
3. Storage Operations and Vault Logistics
Own the tracking of all inbound and outbound storage shipments moving through our warehouse facility.
Coordinate the physical intake ("Storage In") and release ("Storage Out") of customer vaults, ensuring accurate space allocation, proper vault labeling, and meticulously updated digital warehouse records.
Supervise crews during warehouse loading and unloading to ensure customer items are safely wrapped, vaulted, and accounted for prior to long-term storage placement.
4. Material and Inventory Control
Oversee the warehouse supply room and conduct regular material reconciliations.
Cross-reference supplies leaving the facility against completed client paperwork to minimize waste and ensure packing materials remain fully stocked.
5. On-the-Move Customer Service
Act as the voice of the company during dispatch delays. If a field crew is running behind schedule due to Chicago traffic, complex move-outs, or truck delays, you must proactively call the client before the arrival window closes to provide updates.
Confidently address scheduling updates, arrival anxieties, or customer inquiries on-site, maintaining a calm, authoritative, and professional demeanor under high-stress conditions.
Candidate Requirements
Bilingual Fluency: Exceptional verbal and written communication skills in both English and Spanish are strictly required to bridge communication between the office, field crews, and clients.
Computer Savvy: Highly proficient in digital tools. You must be comfortable managing multiple digital interfaces simultaneously, including our moving CRM software, tracking spreadsheets, electronic logging systems, storage databases, and GPS loops.
Experience: 1–3 years of experience in trucking logistics, warehouse storage tracking, local moving dispatch, terminal fleet operations, or fast-paced, high-volume transportation coordination.
Location & Presence: Must reside in the Chicago area and commit to a 100% on-site, early-morning operational workspace at our Grand Ave facility.
Performance Bonus & KPI Structure
To reward operational precision and efficiency, this position includes a performance bonus structure of up to $10,000 to $12,000 extra per year. Bonuses are tracked objectively internally and paid out on a monthly and quarterly basis based on meeting specific operational milestones across our five core departments:
Material & Storage Inventory Control: Evaluated on maintaining strict inventory and vault accuracy. Success is measured by achieving zero lost/misplaced storage items, accurate "In/Out" record logging, and minimizing warehouse supply waste.
Schedule & Crew Note Execution: Tracked via real-time morning rollout data. Requires proactive attendance verification starting at 6:00 AM and matching crew skill sets to specific job notes to ensure on-time deployment.
Customer Communication Index: Tied directly to customer satisfaction and delay mitigation. Success means zero customer complaints or negative reviews regarding arrival windows, achieved by proactively calling clients ahead of time if traffic or delays occur.
Samsara & DOT Fleet Compliance: Measured by fleet safety and regulatory upkeep. Requires maintaining zero unresolved critical safety alerts on the Samsara tracker, 100% up-to-date driver MVR submissions, and zero expired driver medical cards or vehicle stickers.
Long-Distance Profit Protection: Tied to the financial efficiency of out-of-state moves. Success is defined as achieving zero preventable overhead losses, zero unbilled shuttle logistics errors, and zero DOT truck over-weight penalties through meticulous planning.
