Position Overview (Part or Full-Time)
We are seeking a detail-oriented, organized, and customer-focused Sales Support Specialist to join our growing team. This role is critical in supporting our sales team, managing proposal and CRM processes, coordinating with suppliers, and ensuring a seamless customer experience. The ideal candidate is proactive, communicates clearly, and thrives in a fast-paced exterior/construction environment.
Key Responsibilities:
Proposal & Sales Support
• Prepare, create, format, and send detailed proposals, estimates, and contracts on behalf of the sales team.
• Confirm job-specific information, measurements, and material requirements to ensure proposals are accurate and complete.
• Enter, maintain, and update customer, lead, and job data in the CRM system, ensuring all records are current and accurate.
• Track and update all lead activity in the CRM from initial inquiry through scheduling and handoff to production to ensure accurate and timely workflow management.
• Support the sales team with documentation, material lists, and project-specific details.
• Coordinate and schedule appointments, follow-ups, and on-site visits in a timely and organized manner.
Project & Supplier Coordination
• Request pricing, lead times, and availability from suppliers to ensure proposals and scheduling are accurate.
• Follow up with vendors regarding material orders, delivery timelines, and any changes affecting job scheduling.
• Coordinate with production to ensure smooth handoffs from sales to installation.
• Update customers as needed throughout the project lifecycle.
Customer Support
• Serve as a point of contact for customers during pre-sale and post-sale processes.
• Provide timely updates regarding proposals, scheduling, and next steps.
Qualifications
Required:
• 3+ years of experience in a sales or marketing support role.
• 3+ years of experience with proposal creation.
• 3+ years of experience client facing with customers or homeowners.
• Strong organizational, multitasking, and time-management skills.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office and CRM systems.
• Comfortable working in a fast-paced environment with changing priorities.
Preferred:
• Bachelor’s degree in Business, Marketing, or related field.
• Experience in roofing, siding, windows, construction, or home services industries.
