Executive Assistant / Business Partner

We are working on behalf of a client, a Chicago-based communications firm, to fill a key role that will be central to their administrative and operational function.
The ideal candidate is a flexible, proactive, and strategic Executive Assistant / Business Partner who can serve as the trusted right hand to the business owner of a small but growing entrepreneurial company.
This is not a typical assistant role—you’ll bring strong business acumen, financial insight, and project management skills to keep day-to-day operations running smoothly while ensuring the owner is always equipped and supported with the right information and resources to be able to focus on business development and client relationships.

Key Responsibilities:
Serve as the right hand to the business owner, anticipating needs, managing details, and ensuring priorities stay on track.
Help keep the owner polished and prepared for client interactions by managing schedules, preparing professional level materials, and following up diligently.
Provide financial tracking, reporting, and analysis to support informed decision-making.
Manage project workflows—coordinating timelines, tracking deliverables, and keeping the team accountable.
Develop and streamline systems and processes that bring efficiency, structure, and clarity.
Communicate proactively to keep leadership informed of progress, risks, and opportunities.
Collaborate with staff and clients, representing the business with professionalism and care.
Handle confidential information with discretion and professionalism.
Respond to shifting priorities with agility and composure while maintaining focus on business goals.
Engage in a supportive and honest two-way feedback relationship with the business owner.

Strong financial acumen and business analysis skills.
Expert level writing and communication skills
Moderate to high proficiency in developing and delivering professional PowerPoint presentations, a plus
Tech-savvy: Google Workspace, Microsoft Office, project management, time management and CRM tools.
5+ years of executive support, operations, or administrative leadership experience preferred (small business/entrepreneurial environment ideal). However, candidates with a strong blend of many characteristics and skills listed above will be considered.
